Administrative Assistant - Engineering

The Administrative Assistant is responsible for ensuring the smooth operation within Engineering Department. 

Employment will be under local contract. Open for Indonesian citizens only.

What you will be doing:

Reporting to the Assistant Chief Engineer, responsibilities and essential job functions include but are not limited to the following: 

• Schedule and arrange all appointments for the Chief Engineer.
• Prioritize all telephone calls and in-person external and internal visitors.
• Assist the Chief Engineer in his public service role by keeping files up-to-date for the various committees and boards he participates on.
• Support internal hotel projects, bring forward daily items to act on appropriate tasks, tracking necessary action and updating reports as progress is made (i.e. annual budget, strategic plan etc.).
• Handle all office administration duties such as mail, phones, photocopying, office supplies, keep the filling system up-to-date.
• Respond to all enquiries promptly .
• Carry out maintenance repair work and ensure the appropriate PPE is worn during all repairs.
• Ensure good relationships with internal and external customers and contractors.
• Ensure energy conservation initiatives are implemented.
• Attend additional training suitable to the role.

Key Responsibilities:

• Administrative Support: Provide administrative support to our team, including managing schedules, arranging meetings, and handling correspondence.
• Client Interaction: Assist in managing client interactions, ensuring excellent customer service.
• Document Management: Maintain and organize documents, records, and files.
• Data Entry: Accurate data entry and management using various software and tools.

• Associate's or Bachelor's degree in any Major
• Previous experience in a Tax & Accounting firm is highly preferred.
• Minimum 2 years of proven experience in an administrative or office support role.
• Proficiency in Microsoft Office Suite and office management software.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication in english.
• Proactive and have exceptional customer service and interpersonal skills.
• Ability to maintain confidentiality and handle sensitive information.
• Ability to learn new technical topics (the US tax system and accounting)
• Ability to work independently, reliability, attention to detail
